Customer Service Controller - Ocean

A large freight forwarding company is looking for Customer Service Ocean Controller who will be responsible for the below, Duties: • Expedite order received from customer through clear and effective instructions to origin offices. • Gather cargo and origination information, buying and selling rates from the relevant office and finalise, agree and arrange the shipping method with the client and international offices. • Constant follow up and obtaining shipment details – follow-up on overseas activities / SOB to Arrival in SA • Track and trace shipment with carrier • Customer to be kept updated daily through email and status reports. • Communicate and monitor short shipments / delays through to clients • Analyse, rectify and respond to exceptions • Receive pre alert from origin office and ensure all relevant documents are available • Check documents and information and request changes to be made immediately if necessary. • Chase carrier for Arrival Notice / SOB details • Carry out the opening of shipment files and ensure timeous registration of shipment (DBN) • Obtain clearing instruction from client – Upload onto CMS • File now handed over to clearing / customs department for clearance with KPI time frame. • Establish and obtain landside and transport rates, 3rd party Service provider costs and quality assure that the rates on the shipping line invoice are in accordance with company buying rates. • Interact with clients to keep them informed by notifying them of the arrival of shipments • Updating Event Controls (KPI) and capturing data in Procars. • Prepare costing / disbursement sheets in accordance with client rate sheets – keep cost control updated and upload for invoicing • Assist in the timeous and efficient closeout related to shipments by tracking and tracing client shipments from indent, to P.O.D. • Provide general administrative support and back up to the Ocean Freight Import team in ensuring client requirements are met. • Establish and develop strongly valued relationships with all carriers, agents and clients with the purpose of increasing confidence in and the reputation of the business driving brand awareness and loyalty. • Assist Finance department with resolving of queries

Required Qualifications

NCFF (NQF 3/4) FIATA diploma advantageous Matric or Senior Certificate Comprehensive Knowledge of the forwarding and clearing industry, incoterms and customs requirements 5 Years experience in Ocean freight services Client relationships Administrative support & file processing
